The PBX Operator screens and refers all incoming phone calls and office visitors to facilitate timely communications and allow for all offices to be presented in a positive manner. Prepares incoming remittances and related adjustments and routes to clerk for posting. Assists task manager with ER charges and provides departments with assistance. Takes payments, does daily mail deposits, responds to email inquiries form billers. Backs up Admissions Clerk.

Primary Responsibilities
Answers multi-line telephone
1. Answers each call promptly and courteously.
2. Routes incoming calls to the appropriate party.
3. Provides clearly written messages to intended call recipient when calls can not be completed.
Greets and assists visitors
1. Acknowledges visitors’ presence and determines the assistance needed.
2. Routes visitors to appropriate place or person.
3. Notifies personnel of visitors’ presence and needs.
Performs clerical duties
1. Accurately types forms, labels, or correspondence when requested by supervisor.
2. Accurately types or generates reports, logs, or other special project work when assigned.
3. Maintains files as assigned by the supervisor.
4. Maintains patient folders as needed.
5. Maintains and updates and distributes Hospital District Telephone/ Fax/ Department list annually.
Processes mail
1. Distributes all incoming mail.
2. Prepares all outgoing mail, express mail service labels, and packaging and assists others doing same.
Responsible for copier and fax machine
1. Maintains supply of copy paper, toner, and other supplies for copy machine.
2. Maintains supply of fax machine paper, toner, ribbons or drums for fax machine.
Performs duties in support of the Business Office operations
1. Analyzes mailed in payments to determine proper posting of payments and posts appropriately.
2. Maintains a complete accounting of all meal tickets sold or issued for payroll deduction.
3. Maintains change fund and sells postage stamps.
4. Prepares daily mail deposits for the Pitney Bowes Machine.
5. Serves as backup for Admissions Clerk.
